Understanding Recurring and Prepaid Plans

Businesses can create recurring or prepaid plans in Pike13. Recurring plans allow you to bill clients automatically at regular intervals. Prepaid plans are like a pass, except you can set a limit on when clients can schedule visits.

Recurring Plans

Recurring plans provide clients with consistent, uninterrupted access to your services while ensuring predictable revenue for your business. These plans automatically charge clients on a regular billing cycle—weekly, monthly, or annually—removing the need for manual renewals.

  • Flexible Access: Set unlimited visits or restrict usage to a specific number per billing cycle (e.g., 8 visits per month).

  • Service Specificity: Designate exactly which classes, courses, or appointments the plan can be applied to.

  • Automated Continuity: Plans can remain active until canceled, providing a seamless experience for long-term members.

Pike13 handles the heavy lifting of payment processing, but you have full control over the timing and method.

Payment Processing

  • Automatic Billing: By default, Pike13 attempts to charge the payment method on file on the bill due date.

  • Manual Payments: If a client doesn’t have a card on file, Pike13 sends a notification three days before the due date, allowing the client to log in and pay manually.

  • Failed Payments: If a payment fails, the plan remains Active to prevent service interruption. Both the business owner and the client are notified immediately. Staff can easily identify Past Due clients directly from the roster during check-in.

Scheduling and Proration

You can set billing increments in Weekly (1–52), Monthly (1–12), or Yearly cycles.

  • Standard Billing: Bills on the same day each cycle as the plan's start date.

  • Specific Day Billing: Bills on a set day of the week, month or year (e.g., every Monday, the 15th of the month, or January 1st).

  • Proration: When you choose a specific billing day that differs from the start date, Pike13 automatically prorates the first and/or last bill based on the remaining days of service.

Best Practice: For cleaner accounting, many businesses align monthly billing to the 1st or 15th of the month. For weekly plans, picking a consistent day of the week (like Monday) helps stabilize cash flow.

Billing Cycles and Usage Limits

Usage limits define how often a client can visit within a specific timeframe. It is important to understand how these "refresh" based on the plan type.

Visits per Billing Cycle The visit allotment resets exactly on the next billing date.
Visits per Month Provides a set number of visits for the duration of the monthly cycle.
Visits per Week Usage follows a strict Sunday–Saturday calendar week, regardless of when the bill is paid.
Visits per Day Provides a specific number of visits for each calendar day.

Prepaid Plans

Prepaid plans are paid in full at the time of purchase and remain active for a predetermined amount of time. You can configure prepaid plans to:

  • Limit the number of visits per day, week, month, or offer unlimited visits.
  • Specify which services this plan can be used for.
  • Provide time-bound access without recurring charges.

Prepaid plans are great for clients who prefer to pay upfront or commit to a specific timeframe of services.
