Scheduling Premium Report Deliveries
Scheduling lets you automatically deliver a Look or Dashboard to any email address on a recurring basis — daily, weekly, monthly, or more frequently. It's a great way to make sure the right people get the right data without anyone having to remember to pull it manually.

Setting Up a Schedule
- Open the Look or Dashboard you want to schedule.
- Click the Gear icon in the upper right corner and select Schedule.
- For an Explore, click Save & Schedule to save it as a Look first, then schedule it.
- Fill in the schedule details:
- Name — Give the schedule a clear title. This becomes the email subject line and attachment file name.
- Recipients — Enter one or more email addresses separated by commas, then click Add.
- Format — Choose how the data will be delivered (see Format Options below).
- Timing — Set the frequency: Daily, Weekly, Monthly, Hourly, or by Minute, and select the time.
- Optionally click Filters to restrict which data is included in the delivery. Changing filters here does not affect the original report.
- Click Save All to activate the schedule.
Format Options
For Looks & Explores:
- Data Table — Data in the body of the email as HTML.
- Visualization — Chart or graph as an image in the email body.
- CSV — Comma-separated text file attachment.
- XLSX — Excel file attachment.
- JSON — Simple — JSON file attachment.
- Text — Tab-delimited text file attachment.
- HTML — HTML file attachment.
For Dashboards:
- PDF — The full dashboard as a PDF attachment.
- Visualization — The dashboard as a single image in the email body.
- CSV ZIP File — One CSV file per tile, delivered as a zipped folder.
Testing Your Schedule
Before saving, click Send Test to send a one-time delivery to the specified recipients so you can confirm everything looks right before the schedule goes live.
Conditional Delivery
For Looks, you can set conditions so the report only delivers when certain criteria are met — useful for exception-based alerts rather than routine reporting:
- Only if there are results — Delivers only when the query returns data. For example, "notify me only when there are unpaid visits."
- Only if results changed since last run — Skips the delivery if nothing has changed since the last time the schedule ran, avoiding repetitive emails.
Managing Schedules
Each Look or Dashboard can have multiple schedules, and each user manages their own independently — editing or deleting your schedule only affects your recipients.
To add another schedule for the same content, click New + in the schedule dialog and configure it separately. All your schedules are listed by name in the left panel of the schedule window.
When you're done making changes, always click Save All to save.
Advanced Options
Click Advanced options to access additional settings:
- Apply Visualization Options — Applies on-screen formatting (row numbers, custom labels, conditional formatting, etc.) to the delivery. Turn off for a clean raw data export.
- Formatted Data Values — Applies number formatting and special characters. Turn off when sending data to another tool for processing.
- Row Limits — Choose Results in Table (5,000 row max) or All Results (up to 15 MB; available for CSV, XLSX, JSON, Text, and HTML formats only).
- Single Column Layout — For PDF dashboards, displays tiles in a single vertical column.
- Expand Tables — Shows all rows of a table tile in PDF dashboards instead of just the visible rows.
- Paper Size — Set the page size and orientation for PDF exports.
- Time Zone — Override the default account time zone for the timing of deliveries.
