How do I replace a client's current plan with another?

Depending on their usage and needs, clients may often need to change their membership level (e.g., upgrading from "2x Week" to "Unlimited"). You can process this change immediately or schedule it for the future.

Replace a client's plan immediately

The client's current plan must be current on payments. If the client has overdue bills, you must settle them before you can swap the plan.

  1. At the top of any Pike13 page, click Clients and navigate to the desired profile.
  2. On the client’s dashboard, under Plans & Passes> click the current plan you wish to change.
  3. On the plan details page click Change to Different Plan.
  4. On the Choose New Monthly Plan page, select the replacement plan.
  5. On the Confirm New Monthly Plan page, choose the billing date for the new plan, and then click Confirm.
  6. To add a discount to the new plan, on the Shopping Cart page, click Modify> GearLight_button.png to the left of the new plan name, choose Add Discount, choose the discount options you want, click Update, and then click Shopping Cart.
  7. On the Shopping Cart page, click Check Out & Confirm.
  8. On the Billing Information page, click Secure Checkout.

How the Pricing (Proration) Works

When you swap plans mid-month, the system calculates the "Unused Value" of the old plan and applies it to the new plan.

  • Upgrade (New Plan is more expensive): The client pays the difference.

  • Downgrade (New Plan is cheaper):

    • If the old plan has more value remaining than the cost of the new plan, the difference will appear as a credit/discount in the cart.

    • Note: If you want to refund this extra money back to the client's credit card, you must complete the "swap" transaction first, and then perform a separate partial refund on the original invoice.

Future Scheduled Replacement

Use this method if a client wants to finish their current month and start the new plan next month. This is a two-step process.

Set the Expiration Date 

  1. At the top of any Pike13 page, click Clients > desired Client Profile.
  2. Under Plans & Passes in the client's Dashboard, click the plan you want to change, and then on the Details page click Set End Date.
  3. Under Last day of Plan, enter the last day the client should have access to this plan (e.g., the last day of the current billing cycle).
  4. Click Confirm.

Sell the New Plan

  1. Return to the Client's Profile using the Back Arrow button in the upper left corner.
  2. Click New Purchase.

  3. Select the New Plan and then click Add to Cart.
  4. Modify the Start Date:
    • In the Shopping Cart, click Modify (or the Edit/Pencil icon) next to the plan name.

    • Start Date: Set this to the day after the old plan ends.

    • First Payment: Select "First payment is due on the membership’s start date."

    • Second Payment: Set the regular monthly billing day.

    • Click Save.

      5. On the plan details page, select Back to Shopping Cart.

      6. On the Billing Information page, click Secure Checkout.

The client will finish their current plan, and the new plan will automatically kick in (and bill them) on the future date you selected.
