Running Payroll

You can run detailed payroll reports directly with Pike13's built-in tools. This tool calculates the total amount owed to your staff based on their assigned pay rates and confirmed attendance.

⚠️ Important: Payment Processing

Pike13 calculates the data (hours worked, money earned), but it does not process the actual funds. You will use the final report generated here to compensate your staff outside of Pike13 according to your preferred third-party payroll provider.

Prerequisites

Before running payroll, ensure the following are complete:

  1. Pay Rates: All staff members must have pay rates assigned to their profile.

  2. Attendance: Attendance for all classes and appointments in the pay period must be confirmed.

Review Pending Items

Sometimes, specific items (like bonuses or unassigned commissions) require manual approval before they can be included in a pay run.

  1. At the top of any Pike13 page, click Staff, then click Run Payroll Now.

  2. Review the Payroll Activity section. If this section does not appear, it means you do not have any items to review.

  3. Select one of the following actions to take:

    1. Click X payroll item(s) to review.

      1. Click the Approve button to approve the pending item.

      2. To Reject or Reassign the pending pay, click the title to see more details.

        1. Add an optional note with an explanation, then click:

          1. Approve to include the item in the next payroll

          2. Reject to discard it

          3. Reassign to select the correct employee, and then Approve the item

    2. Click X new pay records to review pay records that have not been included in a payroll run.

    3. Click Recalculate Pending Pay to update any pay records that may be associated with rosters or transactions that have recently changed.

Running Payroll

Once all pay records are approved, generate the report for a specific date range.

  1. At the top of any Pike13 page, click Staff, then click Run Payroll Now.

  2. Click Choose Pay Period Dates.

  3. Enter a Start Date and End Date.

  4. Click Create.

  5. Click the pay period to see details about it.


    1. Click on a staff member's name to see each pay item.

    2. Click Download CSV to export the data to Excel (useful for uploading to your payroll software).

    3. Click Finish to mark the period as Closed in Pike13.

    4. Click Delete if you made a mistake (e.g., forgot to confirm attendance for a day) to scrap this report and start over.
