Pike13 Glossary

To help you get the most out of Pike13, we’ve defined key terms and concepts used throughout the software, mobile apps, and our help articles.

Understanding these terms will help you manage schedules, billing, and people more effectively. Use the list below to familiarize yourself with our ecosystem.

Identity and People

Account: The top-level identity used for signing in to Pike13. A user should have one login account, which can be linked to multiple client or staff profiles across different Pike13 businesses.

Staff Profile: Active business employees. They may be a teacher, trainer, front desk receptionist, etc. Staff can perform various tasks depending on the role you assign them via web browser or the Staff App.

Visitor: A person without an account with your Pike13 business or someone who is not logged in to Pike13. Visitors can see your schedule, services, passes, and plans if you have allowed visitors to do so on your public-facing Pike13 site.

Client Profile: A person with a profile in your Pike13 business. Clients may make purchases and schedule services through the business website or the client app. Clients with dependents are called Account Managers. Clients with an account manager are called Dependents.

Member: A client who has an active plan, pass or course that your business defines as qualifying for membership status.

Account Manager: A client or non-client who can act on behalf of their dependents by enrolling them into classes or appointments and making purchases for them. They can also sign waivers for dependents under the age of majority (default 18 years old).

Dependent: A client who has an account manager. A dependent can have their Account Manager handle their waivers, enrollments and purchases. Dependents may also manage their own profile. Most dependents are under the age of majority (default 18 years old).

Non-Client: A person who is not required to sign a waiver at your business. This is typically used at businesses where dependents (children or minors) are the main customer. A non-client is converted to a client if they make a purchase for themselves. Once this happens, they will be required to sign a waiver.

Hidden Client: Hiding a client removes their name from the client list but keeps their profile and history accessible in Pike13 and reporting. Hidden clients are still searchable, but are marked as hidden.

Products and Services

Service: Clients enroll in services such as classes, appointment or courses. Instructors (staff)  can be assigned to a given offering where they may take attendance on a roster or communicate with clients via notes.

Class: Designed for group-based lessons. Classes occur at regularly scheduled times and more than one client can register online for a class. Clients can selectively enroll in and cancel their classes online. Classes can be set up to allow drop-ins, make-up passes and leverage waitlist functionality. Common uses include group training, open gym and workout of the day.

Appointment: Designed for 1-1 lessons. Only one client can book an appointment time online with an instructor based on the staff member's availability. Clients can book times as needed or bulk enroll themselves in a series. Clients can pay for visits using a plan or pass. Common uses include one-on-ones, consultations, evaluations, lessons, massages, nutrition consulting, and personal training.

Course: Designed for all-or-nothing attendance like a camp, workshop or learning series. Clients pay one full fee upfront to enroll in the entire series. (e.g., $250 to enroll in all 5 days). They cannot pay for a single day or session. If a client misses a day, there is no functionality to reschedule a single visit.

Plan: Subscription- or time-based access (recurring or prepaid) that often grants membership status to the client. Clients can have a limited or unlimited number of visits while their plan is active.

Pass: Passes or punch cards offer flexible, non-recurring options that let clients buy a set number of visits to use at their own pace over a set period of time. Passes can be prepaid, complimentary, single-visit or issued as a make-up for missed sessions.

Member / Membership: Client having an active pass, plan or course enrollment that is set as qualifying the client who holds it as a member of that business.

Merchandise: Physical goods (e.g. shirts, water) sold through the Store; these are not client-facing for purchase.

Store: The part of Pike13 that controls purchases of prepaid or recurring plans, passes, courses, merchandise and gift cards.

Scheduling and Attendance

Schedule: A calendar with scheduled classes, courses, and appointments. The schedule can be viewed the following ways: List View, Day, Week, Month.

Event: The entire series of events for a Class schedule. E.g. Beginner Yoga is on Mondays from 3-4 pm starting Jan 15.

Event Occurrence: A specific instance of an event/service on the calendar, used to manage attendance, enrollment, no shows, etc. via a Roster. E.g. Senior Swim from 3-4 pm on March 1, 2026.

Visit: The link between a client and a specific Event Occurrence. It tracks booking and attendance. Passes are for a set number of visits that the client may use to enroll in/pay for services. Plans may be unlimited or have a set number as well.

Register / Enroll / Book: The act of signing up for a Service. Book refers to Appointments, while Enroll and Register refer to Classes and Courses. These actions may be taken by clients for themselves or their dependents, or by staff on behalf of any client.

Kiosk App: The tablet app used on-site to allow clients to sign up, enroll, check-in and confirm their attendance.

Administrative and Financial

Bill / Invoice: A statement of charges. Pike13 distinguishes between bills for your business's use of Pike13 and client/customer Invoices. An invoice is generated whenever a purchase is made. While most transactions are fully paid immediately, you may also apply split or partial payments. Invoices have various states: paid, unpaid, scheduled, due, past due, and failed bills.

Purchase Request: Invoices that can be used to recommend products, passes, or plans without creating mandatory debt for clients. Unlike standard invoices, these do not represent services already performed and may be declined by the client.

Revenue Category: A way to classify and group the revenue from products and services in Pike13 financial reports.

Waiver: Often referred to as a release of liability form. This can be signed electronically through Pike13.

Miscellaneous Document: Non-waiver documents that can be signed electronically in Pike13. Miscellaneous documents are not automatically sent to clients.
